Who we are
Swan Ops is a digital partner agency operated by Baousmane Kone, sole trader, trading as Swan Ops — ABN 89 475 284 594, based in Perth, Western Australia. We service Perth metro, Bunbury and the South West.

What this policy covers
This policy explains what personal information we collect when you use swanops.com.au, why we collect it, how we look after it, who can see it, and what choices you have about it.
We're an Australian business and we follow the Australian Privacy Principles under the Privacy Act 1988 (Cth). That's the federal law that governs how businesses handle personal info in Australia.
What we collect
When you fill in a form on our site (for example to download a checklist or book a chat), we ask you for:
- Your first and last name
- Your email address
- Your business name
- Your industry or sector
- Sometimes a phone number or a suburb if relevant to the form
When you book a chat through our Cal.com calendar, Cal.com also collects the booking details (time, date, your time zone) on our behalf.
We do not collect sensitive information — health data, financial details, government ID numbers, beliefs, political opinions. We don't need it and we don't want the responsibility of looking after it.
What we use it for
We use the info you give us to:
- Send you the PDF or resource you asked for
- Send a short follow-up email (usually 1–4 emails over a couple of weeks) with related advice
- Reply to enquiries you send us
- Confirm and run any chat or audit booking you've made
- Improve the resources and the website (in aggregate, not on you individually)
We never sell your details to anyone. We don't share them with third parties for marketing.
Cookies and analytics
Our website uses minimal cookies — only what's needed for the site to work and for us to understand how visitors use it in aggregate.
We may use Google Analytics 4 (a service from Google) to count visits and see which pages are popular. Google Analytics doesn't identify you personally to us — it just gives us anonymous traffic patterns. You can block analytics with most browser extensions if you'd rather not be counted.
Where your data is stored
Your details are stored with a small number of trusted services we use to run the business:
- Twenty CRM — our customer database. Hosted on a server we control.
- Google Workspace — for email correspondence.
- Cal.com — for chat bookings.
- Brevo (or similar email service) — for sending the resource PDF and follow-up emails.
- Netlify — the platform hosting the website itself.
Some of these services may store data outside Australia (typically in the European Union or the United States). All of them are bound by their own privacy obligations and contracts.
How long we keep it
We keep your details for as long as it's useful to maintain the relationship — typically a few years.
If you ask us to delete your data, we will. See "Your rights" below.
Your rights
Under the Australian Privacy Principles, you have the right to:
- Ask what data we hold about you — we'll send you a copy within 30 days.
- Correct any data that's wrong — just tell us and we'll fix it.
- Have your data deleted — we'll remove it from our active systems within 30 days. Some data may stay in backup archives for a short period after, but it won't be used.
- Unsubscribe from emails — every email we send includes an unsubscribe link. Or reply with "stop" and we'll take you off the list.
- Complain — if you think we've mishandled your data and we can't resolve it together, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
Security
We use industry-standard protections (HTTPS, encrypted storage, access controls) to keep your data safe. No system is 100% bullet-proof, but we take reasonable steps. If something ever did go wrong and your data was exposed, we'd let you know and notify the regulator as required by the Australian Notifiable Data Breaches scheme.
Children
Our services are aimed at small business owners. We don't knowingly collect information from anyone under 16. If we find we have, we'll delete it.
Changes to this policy
When we update this policy, we'll change the "Last updated" date at the top. If we ever make a major change (for example, adding a new way we collect data), we'll let people know on the website and by email where appropriate.
